Good morning everyone,

 

What a year it has been, from Covid-19 to cars in pools (yes, really), we’ve literally seen and handled it all this year.  We’ve put together a run down of some new features, emergency protocols and helpful info for each Owner and Occupant.  We highly recommend sending the Maintenance details to your Property Managers and Tenants (If required)  

 

We are thrilled to announce that we have some major upgrades and changes to our body corporate software and procedures. 

NEW UPGRADES AND FEATURES FOR 2021;

  1. Levy System will be completely automated as of January 2021.  There will still be a due date of 30 days for each Period and the DEFT Payment system will still be active.
  2. The Arrears System will also be automated as of January 2021 – Arrears are issued after 35 days from the issue date for each Period.
  3. New Community Portal APP (iOS and Android Devices) Each Unit will receive a Log-in to your nominated
  4. Brand new Maintenance Software with interactive Committee and Contractor Access 24/7 (. (Further details will be provided in January 2021)
  5. New support staff as of January 2021.
  6. New Payment Option – DIRECT DEBIT IS HERE! See below for more information.

 

NEW PAYMENT OPTION: DIRECT DEBIT

WE have provided a form which can be filled out and sent to us to set up a direct debit service for the recurring levy payments (4 Levy Periods per Body Corporate Financial Year).  This will help keep on top of the recurring payments a lot easier.

Please feel free to complete the attached form and return to bodycorp@jensenproperty.com.au.   For a full run-down of your Levy structure, please email us and we will provide your financial year budget with levy period amounts for your Unit.

CONTACT DETAILS FOR EACH OWNER AND ASSOCIATED CONTACTS (IMPORTANT)

PROPERTIES ON THE MARKET/SETTLEMENTS

Sometimes we don’t hear from Solicitors until a few months after a property has settled, and unfortunately if we aren’t contacted by the new Owner, we aren’t notified of new ownership at all, this can make our job difficult especially when it comes to issuing Levy Notices.  

For us to have a constantly updated system, we need your help.   If you are deciding to sell or your property is currently on the market, could you please email us directly with further details?  That way we can be prepared once you have a contract in place.

ANY UPDATES TO CURRENT OWNER’S CONTACT DETAILS (i.e. Change of Mobile Number or Email Address, Adding a new Property Manager or Associated Contact?)

If you have a new email, phone number or you aren’t 100% sure that we hold all of your current contact information, we kindly ask you to complete the attached Owner Contact Information Form. 

Include any partner’s contact information even if they aren’t an Owner on the Deed to your Property. 

If you are an owner investor, we ask that you please complete the attached form and provide us with your current property manager’s information.

IMPORTANT:  There is a section provided in this form for levy correspondence, it is vital that we are updated should you wish for your Property Manager to receive and pay your Levy Notices.

This will ensure we are running a super-efficient program.

GARDENING AND CLEANING MAINTENANCE AND STORM SEASON PREPARATION

All Gardening and Cleaning Services will continue over the Christmas break, we’ve confirmed with our Gardening and Cleaning team that any urgent gardening and cleaning works will be able to be carried out over the Christmas period also.

EXCLUSIVE AREA DRAINS (UNIT COURTYARDS) TO BE CLEAR FROM DEBRIS AT ALL TIMES

As we’re seeing a lot of rain, it is vital that all body corporate occupants and owners are continuously cleaning out their courtyard drains from debris/grass/gravel to ensure free flow for storm water.   If courtyards are not clear, this will create excessive water overflow and could potentially cause further damages not only inside your Unit but other units and common areas.  Costs would then be the sole responsibility of the Occupant.  So Free the Flow!  We don’t want anyone to have to wear the cost of repairs – save that money for the boxing day sales!

If at anytime you have a blocked drain within your exclusive area (Not common area), we urge you to organise a pressurised clean by a qualified contractor.  One of our preferred Plumbing Experts is provided for you below;

EMERGENCY REQUESTS PROCEDURE AND OFFICE CLOSURE OVER CHRISTMAS BREAK 2020-2021

Please note that the Body Corporate department at Jensen Property will be temporarily closed for the

Christmas Break from Saturday the 19th of December 2020 and will re-open on Monday the

4th of January 2021. 

For ALL emergency enquiries, please contact Emily Sergeant on 0438 186 185 either by call or text.  Your call/text will be answered immediately and appropriate contractors will be sourced from your Body Corporate Manager.

Please forward photographs to this number to help with the emergency resolution procedure.

 

NON URGENT REPAIRS

If at any time you need a non-urgent repair/maintenance completed, we ask that you send your request via the attached Maintenance request form and email directly to bodycorp@jensenproperty.com.au.  These requests will be processed from Monday the 4th of January 2021.
